Invite team members, choose the right role, and scope access by outlet.

How access works

Team management lives under Dashboard → Profile → Account Access. Only the business ownercan invite, edit, or revoke teammates. Team members can view their own role and scope, but can't see or manage each other.

Access is layered: each teammate has a role (what they can do), a scope (which outlets they can access), and optional special permissions for sensitive areas like billing.

Invite a team member

  1. 1Open Dashboard → Profile and switch to the Account Access tab.
  2. 2Click + Invite Member in the top-right.
  3. 3Fill in the invite form (below) and click Send Invite.
  4. 4Your teammate receives an email invitation. Their status shows Pending until they accept.

Required

EmailThe teammate’s email. Must be an email not already on another business.
RoleViewer, Kitchen, Manager, or Admin. See the next section.

Optional

Full NamePre-fills their profile on first sign-in.
Outlet scopeMulti-select outlets the teammate can access. Leave blank to grant access to all outlets.
Special permissionsFor Manager role only — Billing and Account Management toggles.

The four roles

Viewer

Read-only access to reports and orders. Great for investors or accountants who should see numbers but not change anything.

Kitchen

Access to Live Orders and Live Kitchen only. No revenue totals, no billing. Ideal for kitchen staff running a KDS.

Manager

Full operational access — manages menus, items, orders, reports. Optionally granted Billing or Account Management permissions.

Admin

Everything a Manager can do, plus full access to team management, billing, and business settings. One step below Owner.

Per-outlet access scope

A teammate can be scoped to one outlet, several outlets, or all outlets. Useful for chains where a manager runs only one location.

  • Viewer and Kitchen roles are best suited to per-outlet scope.
  • Manager and Admin typically see every outlet, but can be scoped if needed.
  • Leaving the scope blank = all outlets.

Special permissions

The Manager role has two opt-in toggles that extend access without promoting them all the way to Admin:

BillingView and manage the subscription, download invoices, and update payment methods.
Account ManagementEdit business settings — name, address, GST, logo. Does not include team management.

Edit or re-invite

  1. 1Go to Profile → Account Access.
  2. 2Click a teammate row to open the edit modal.
  3. 3Change role, scope, or special permissions. Save.
  4. 4If the invite email expired or was lost, click Re-invite to send a fresh link.

Revoke access

When someone leaves the team, revoke their access. They cannot sign in again until re-invited.

  1. 1Go to Profile → Account Access.
  2. 2Click the Revoke icon on the teammate row.
  3. 3Confirm. Their status changes to Revoked; their session is invalidated.

Revoking is non-destructive: the revoked member can be re-invited later and historical records of their activity stay intact.
